Create Discount Coupons

WashConnect’s Discount Coupon codes allow you to offer a four-digit code that can be reused to grant discounts or alternate wash options.

Who needs to reference this guide?

Existing sites that want to offer a repeatable discount without creating unique wash codes for each use.
Example: Site wants a code 1234 that grants a 10% discount during the month of March.

I. Create Discount Coupon Sales Item

To set up a Discount Coupon Sales Item, follow these steps:

1. Select Configuration > Goods and Services > Sales Items
2. In the Profit Center box, select a profit center from the list that the sales item will be sold and tracked in.
3. Click the Add button.
4. In the PLU # box, type a positive whole number. 
   Tip: You can prepare an organized number system with your accountant.
5. In the Name box, type a name for the discount.
6. In the Type box, select Discount Coupon.
7. When the Discount Coupon type is selected, the coupon price can be defined as a discount of a flat amount or a percentage discount.
8. The only required fields here are the Price and Name fields, however it is always encouraged to input as much information as possible here, doing so will allow for greater versatility with this service
9. Click to select Amount or Percentage.
   NOTE: At the Auto Sentry, the flat Amount discount will only be applied against the cost of the base wash and never against the extra service. The Percentage discount will be available at the Touch POS only. The Percentage discount will be applied against the total cost of the base wash and the extra service.
10. In the remaining fields, type any additional information available.
11. Click the Save button.

II. Create Discount Coupon Profile

This section is to set up a Discount Coupon Profile with the discount coupon sales item PLU created in Section #I above.

1. Select Configuration > Goods and Services > Profile.
2. In the Profile toolbox area, click the Add button. The Profile dialog box appears.
3. In the Profile box, type a name for the Discount Coupon Profile.
4. In the Device Type box, select a device type.
5. In the Devices box, select one or more devices.
6. In the Service Type box, select Discount Coupon.
7. From the Services toolbox area, select the Add Discount Coupon button.
8. From the Discount Coupons section, select all Discounts that apply. (Only Sales Items defined as Discount Coupon will be available for assignment.)
9. Click OK.
10. Click the Save button. The message "This profile is not enabled do you want to enable it at this site" appears.
11. Click Yes.
     

III. Add a Schedule to link the Coupon Code to Redemption Items

After a Coupon Code Sales Item and Profile have been created by following section I and II above, you can link the Coupon Code to a list of retail sales items services. This can be an existing Retail Sale profile, or it can be linked to a unique one that offers a specific wash.

NOTE: Please see step #IV if you would like to make a unique profile for this coupon code.

1. Select Configuration > Goods and Services > Profile.
2. Click to select a saved Profile from the Profile list. (Active profiles are highlighted in green.)
3. In the Schedule area, click the Add Schedule button.
4. In the Day of Week box, select All Days or the individual day(s).
5. In the Start Date box, select a start date.
6. In the End Date box, select an end date if necessary.
7. In the Start Time and End Time boxes, select a specific time, if necessary.
8. In the Vehicle Height box, select Normal or High Vehicle.
9. In the Applies To box, confirm Discount Coupon is showing (this should be automatically selected for a discount coupon profile)
10. In the Rule box, select a Rule which is essentially the profile to apply the discount coupon to.
    • Example: If this coupon is to be applied to the regular Retail profile named “Daily Retail” then  assign “Daily Retail” as the Rule.
11. Click the Save button. The schedule is assigned to the profile. Controller Services need to be set up for the individual sales items in the saved Profile.
12. Click the Enable button, if necessary.
13. If the Status column displays Enabled, and the profile has a valid schedule, then the profile will be completely enabled.

IV. Create Retail or Club Profile to tie to the Discount Coupon

NOTE: This is an optional Section.

If you do not already have a profile that lists the items you want to offer based on the above Discount Coupon, you can create a Retail or Club Sales Profile that lists the appropriate items to offer with this discount coupon by following these steps.

1. Select Configuration > Goods and Services > Profile.
2. In the Profile area, click the Add button.
3. In the Profile box, type a name for the profile.
4. In the Device Type box, select the type of device that this profile will be seen.
5. In the Devices box, select one or more devices of device that will support this profile.
6. In the Service Type box, select Wash Service.
7. Click the Add Service button.
8. In the dialog box, select between one and six base washes if setting, and then click OK.
9. Click the Save button.

IMPORTANT: Profile is not complete until a valid Schedule is setup, and the Profile is Enabled.

V. Verify

Please test this during the date/time range defined in the coupon schedule.
1. Click or tap the enter coupon or enter code button on the Payment Terminal Screen.
2. Enter the 4-digit PLU of the Coupon Code Item made in step I.
3. Confirm the appropriate discount is granted and the correct wash options are presented.
